Recommended Procedure
- Obtain information on partner institutions at your department (from colleagues in your field and from your superior) and information on the formalities associated with Erasmus+ teaching mobility at the Office for International Programme Mobilities – IPM.
- Select the institution(s) to which you intend to apply.
- Prepare your application (= CV, brief concept, available dates, etc.) electronically via Mobility Online (MO); ideally, you should simultaneously make contact with colleagues from your field at your desired destination(s) (insofar as such colleagues are present there).
- Upon receipt of your official letter of invitation from the host institution and nomination by the IPM via Mobility Online, you must inform your superior of your intent.
- Complete the forms “mdw – Reiseantrag International Programme Mobilities” (internal travel allowance application / “RKZ application”) and “mdw-Antrag auf Dienstfreistellung/Sonderurlaub” (internal leave application) via Mobility Online.
- Following travel allowance approval: book travel and accommodations at your destination, finalise your lesson plan, etc., and make final organisational arrangements with the contact from your field at the host institution.
- Fill out Erasmus+ forms (Grant Agreement, Mobility Agreement) via Mobility Online.
- Remember to pack along your A1 Form (which will be sent by the BVAEB to your private address) when you travel.
- Conduct and document your mobility visit.
- Have your Confirmation of Stay issued at/by the host institution.
- Fill out online your “mdw – Reiseabrechnung International Mobilities” (internal application for travel expense reimbursement – i.e., your expense report), upload all receipts and deliver it personally or send it via internal mail to the IPM – Office for International Programme Mobilities along with original receipts/invoices.
- Fill out the EU Survey using the EU database system associated with the programme. (Link will be e-mailed to you.)
- If possible: author a blog post for the International Blog of the mdw (contact Isabella Gaisbauer at the Office of the Vice Rector of International Affairs and Art for access and/or help).
