Personnel management:
In the area of personnel management, the following tasks are the responsibility of managers in accordance with mdw guidelines:
- Application to fill a position/supplementation application: Application to Rector
- Advertisements: Proposal for the text of the advertisement, publication of the advertisement
- Participation in the appointment procedure in compliance with the relevant guidelines, IL/OE managers: Proposal/ consultation, planning and organization of the start of service (EDP, workplace, room...)
- Workplaces: Definition/specification of the tasks of employees (job description and agreement on job profile), applications for changes to employment relationships such as upgrades or changes of assignment, changes to the scope of employment
- Monitoring compliance with official obligations: Instructions, warnings, forwarding to rectorate and personnel management
- Working hours: (administrative staff) monitoring compliance with working hours, working time records, maximum working hours, ordering and approval of overtime/extra work; (teaching staff) possibly entrustment with teaching ("dean of studies function"), provision of classrooms, resources... - Absences: Receipt of sick notes/accident reports and forwarding to HR management, approval of recreational leave and care leave, statement on special leave, leave of absence for research/EEK, sabbatical, parental leave, approval of business trips and travel allowance (RKZ)
- Termination of employment relationships: Involvement in the termination of employment relationships, including statements, minutes of discussions, official discussions with the Human Resources Management department

Budget responsibility - commercial due diligence:
As a manager at the mdw, you are responsible for the budget of your organizational unit (needs assessment, budget negotiations, proper and planned use, ...).
Information and advice on financial management at the mdw, budget allocation and negotiation, the use of SAP (reporting), account assignment objects (cost centers/internal orders), central invoice receipt and the invoice workflow, ... are provided by the Department for Budget and Controlling. After taking over the management of an organizational unit, there is usually an initial official meeting between the Department for Budget and Controlling and the new manager. Reporting obligations, monitoring:
At the beginning of each calendar year, the University prepares an activity report on the previous year in the form of an intellectual capital report. At the mdw, the intellectual capital report is coordinated by the Quality Management (QM) staff unit and drawn up jointly with the Rectorate. In some cases, the support of managers is also requested in the form of short reports (text modules). The mdw Rectorate submits the intellectual capital report to the Ministry and publishes it on the website every year for all to see.
Evaluations:
Course evaluation (does not apply to the administration):
Every 5 years, all courses taught by lecturers assigned to this institute are evaluated.
The respective institute management is responsible for organizing the course evaluation at the institute, takes on communication tasks and is available to the staff of the Quality Management Unit as a source of information (see guidelines for course evaluation). VRI and VRII invite the head of department to a final evaluation meeting.

Personal evaluation (does not apply to the administration):
University professors pursuant to §25 and associate professors pursuant to §27 KV. must be evaluated at least every five years (cf. guideline "Personal evaluation"). Part of the procedure to be carried out is the submission of a statement by the head of the institute with regard to the areas of responsibility listed in the performance portfolio of the candidate and the fulfillment of official duties.

Room management, instrument management if necessary:
If your organizational unit is assigned rooms at the mdw (seminar rooms, concert halls, event halls) for holding classes, practicing and events, you are responsible for their allocation. The same applies to instruments and their rental.

Quality and knowledge management in the areas of art, science, research, teaching and pedagogy (5-pillar model) as well as in all other areas of the university:
Just as every organization lays the foundation for quality-oriented further development by setting goals and reviewing the achievement of these goals, it is essential for every OU to consciously reflect on its work and results in order to be able to make improvements. Dealing with knowledge in various forms is of great importance here.
- By what means do I systematically reflect on, review and ensure the quality of the structures, processes, procedures, interfaces, rules and services for which I am responsible?
- For example, do I hold regular institute/department meetings?
- Do I invite my employees to reflect together on the quality of their collaboration? Do we have a common understanding of quality, transparent workflows and team rules?
- Is the replacement of knowledge holders during their vacation/sick leave ensured?
- Do I use cross-departmental communication platforms at the mdw (such as the Institute Directors' Retreat (ILK), the Forum of Heads of Administrative Units (OU Forum)) to exchange and receive information and feedback?
